Duration: 6 months

About the Role

We are seeking a hands-on, highly reliable Operations & Facilities Associate to support daily operations across our laboratory and office spaces during a temporary leave of absence. This is an onsite role responsible for keeping our research teams running smoothly by managing lab support activities, procurement, facilities coordination, and general operational needs. Approximately 80% of this role will be spent in the laboratory, with the remaining 20% focused on facilities and general operations support.

The ideal candidate is proactive, organized, and comfortable working in a fast-paced biotech environment where priorities shift quickly.


Key Responsibilities

Laboratory Operations (Primary – ~80%)

  • Perform daily lab support activities, including glasswash, autoclave, trash and recycling removal, and hazardous waste handling.
  • Manage restocking of consumables, PPE, and general lab supplies across work areas.
  • Support general lab cleanliness, organization, and equipment upkeep, escalating issues as needed.
  • Assist with receiving, labeling, and distributing incoming materials (reagents, consumables, small equipment).
  • Coordinate regularly with the Lab Operations Manager to ensure smooth day-to-day operations.
  • Perform routine safety tasks such as eyewash/shower checks, spill kit inspections, and basic EHS support.
  • Maintain inventory systems and help track supply usage.
  • Support basic equipment maintenance schedules (e.g., water baths, incubators, freezers) with guidance from the Lab Operations Manager.

 

Procurement & Logistics

  • Process purchase requests for lab and office supplies; create and track POs.
  • Work with preferred vendors to obtain quotes, lead times, and product information.
  • Maintain organization of stockrooms and supply staging areas.
  • Coordinate shipping and receiving, including domestic and international shipments when needed.
  • Ensure timely delivery and distribution of incoming packages to research teams.

 

Facilities & General Operations (~20%)

  • Provide light facilities support, including:
    • Coordinating vendor visits for minor repairs or maintenance
    • Supporting office setup for new hires
    • Monitoring common areas to ensure cleanliness and functionality
  • Assist with basic workspace setup, furniture moves, or small projects as needed.
  • Act as a point of contact for reporting facility issues and escalating them to the Facilities Manager or vendors.
  • Support onboarding by preparing workspaces, distributing keys/badges, and assisting with facility tours.

 

Health, Safety & Compliance

  • Follow all safety procedures related to chemical handling, hazardous waste, and lab operations.
  • Participate in routine safety inspections and support EHS initiatives.
  • Maintain documentation logs where required (waste removal logs, equipment checks, etc.).

 

Required Qualifications

  • Bachelor’s degree in Operations, Facilities, Biology, Chemistry, or a related field OR equivalent relevant experience.
  • 1–3 years of relevant experience in lab operations, facilities, or general operations—preferably in biotech, pharma, or another scientific environment.
  • Comfortable working in a hands-on role that requires daily presence in the lab.
  • Familiarity with basic lab operations, safety procedures, or hazardous waste handling.
  • Experience with procurement or inventory systems is a plus.
  • Strong organizational skills with the ability to manage multiple tasks and priorities.
  • Excellent communication and customer service mindset; comfortable supporting a variety of cross-functional teams.
  • Ability to lift up to ~40 lbs and perform routine physical tasks required in lab and facilities operations.
  • Proactive problem-solver with a willingness to learn new systems and processes.
  • Comfortable working in a fast-paced, dynamic environment and adapting to changing needs.

 

Preferred Qualifications

  • Experience with glasswash/autoclave, waste management, or general lab upkeep.
  • Experience with Prendio for purchasing.
  • Prior experience in a startup or rapidly scaling organization.
  • Familiarity with MS Office, Google Workspace, and/or inventory management software.
  • Basic understanding of OSHA and general EHS concepts.
