Executive / Senior Executive Administrative Assistant
Position Summary
We are seeking an experienced Executive/Senior Executive Administrator to provide high-level administrative support to our executive leadership team. This role will be instrumental in ensuring the seamless execution of daily operations, managing complex schedules, coordinating strategic meetings, and facilitating communication across the organization.
A critical component of this role includes supporting Board of Directors (BOD) and investor relations activities, including planning and coordinating board meetings, investor presentations, and high-profile engagements. The ideal candidate thrives in a fast-paced biotech environment, demonstrates strong organizational and interpersonal skills, and can proactively anticipate the needs of the executive team.
Key Responsibilities
- Provide executive-level administrative support to senior leadership, including calendar management, meeting coordination, and travel arrangements.
- Manage complex schedules, ensuring strategic prioritization of meetings, deadlines, and key business initiatives.
- Act as a liaison between executives, internal teams, external stakeholders, board members, and investors, maintaining professionalism and confidentiality.
- Support Board of Directors and Investor Meetings:
- Plan and coordinate all logistics, including scheduling, venue selection, catering, and technology setup.
- Prepare and distribute meeting agendas, board books, presentations, and other relevant materials.
- Ensure proper documentation, note-taking, and follow-up on action items.
- Manage investor-related communications and scheduling for high-level engagements.
- Prepare and edit presentations, reports, and other critical documents for internal and external meetings.
- Coordinate logistics for leadership team meetings, investor presentations, and company events.
- Handle confidential and time-sensitive information with discretion and professionalism.
- Support office operations, including vendor coordination, procurement of office supplies, and event planning as needed.
- Assist in special projects, process improvements, and other ad-hoc administrative tasks as required.
Qualifications & Experience
- For Executive Administrator: Typically requires a minimum of 5 years of experience supporting senior executives with a Bachelor’s degree; or 3 years and a Master’s degree, or equivalent combination or education and experience
- For Senior Executive Administrator: Typically requires a minimum of 8 years of experience supporting senior executives with a Bachelor’s degree; or 6 years and a Master’s degree, or equivalent combination or education and experience
- Experience working in biotech or life sciences industry required. Start up experience is preferred.
- Prior experience supporting Board of Directors and investor relations activities is highly preferred.
- Strong organizational and time management skills, with the ability to prioritize and multitask effectively.
- Exceptional attention to detail and problem-solving abilities.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (Zoom, Slack, Concur, Diligent, etc.).
- Ability to work independently, exercise sound judgment, and maintain confidentiality.
- Excellent written and verbal communication skills.
- Professional demeanor with the ability to build strong relationships across all levels of the organization.
